The digitization of environmental files, essential for both internal staff and citizens, is facilitated by the IGA. After scanning, the files are sustainably stored in E-depot Vlaanderen and made accessible through permit software and the Woningpas. Recent digitizations include the urban planning permits of Mesen in September, followed by files from De Panne in October. By early 2027, files from Alveringem and Nieuwpoort are scheduled.
Permit files are among the most consulted documents within a municipal archive. The integrated approach, developed within the Future Town Hall project, ensures that paper files are digitized, sustainably stored, and made accessible. This solution is now also available to other administrations.
For employees of the Environment department, digitization means significant time savings. Permits and plans can be accessed directly from the permit software, making information faster and easier to retrieve.
Residents also benefit from this digitization. Through the Flemish Woningpas, homeowners can consult permits and plans related to their property day and night, often eliminating the need for a visit to the town hall or an inquiry with the Environment department.
The digital files are sustainably stored in E-depot Vlaanderen, ensuring valuable information remains secure, readable, and accessible long-term. The IGA supports local authorities in managing their archives, from organization and inventory to the transition to digital archiving.
